The Challenge for the TEAM

A complex team's effectiveness is a function of its ability to overcome the fragmentation that is inherent in distributed, multi-organization or cross-functional collaboration.

The people on small, simple or local teams often know each other well enough that that they can have meetings and teleconferences, meet informally and send enough emails to keep everybody on the same page. They create and maintain the "shared context" of the project informally. The shared context includes:

objectives & deliverables

deadlines, priorities

roles & authority

process or workflow

exception handling & plan changes

plus, the full range of political subtleties that are rarely committed to paper or email

For simple teams, it's ok for all of this "context" to live in people's heads. The team intuitively manages how much context needs to be shared, and with whom.

The project can evolve throughout its lifecycle from an idea to planning to implementation and move through its inevitable adjustments without much explicit definition or formal structure.

But this workstyle does not scale to more complex projects and teams.

Projects often start with clear and simple objectives, and grow more complicated as the team gets deeper into the details.

Each incremental dimension of complexity seems manageable at the time - more projects, process exceptions, new players, outsourcing, budget changes, cross-functional involvement.

But some projects move beyond the complexity that is manageable with standard tools such as email and teleconferences. And, because each incremental bit of additional complexity by itself may not warrant the adoption of a new tool for the team, the team proceeds doggedly onward with decreasing effectiveness.

Adopting a new tool when a project is this situation is often not an obvious option, especially if no good alternative is known or understood.

The Challenge for the NEW TOOL
Getting a distributed, multi-company team onto the same page is not easy.
